Do's and Don'ts of the Newly Elected Program Co-Ordinator
Within one week fo taking on the position of Program Co-ordinator, inform ALL the booked caravan parks on the New Year program, that you are the new co-ordinator. Give your name and phone number so all correspondece in relation to bookings can be conducted through you.
New Year:
January: Reserve 24 sites for the Christmas Gathering, if not already done.
Confirm with all the caravan parks of the club's dates for the new year, either by phone or email.
Ask when deposits have to be paid, when the balance is due and how long the CP will hold the sites.
Venue for the Christmas dinner needs to be organised along with a dress theme, music and dietary requests.
Later in the the year, find a venue for the AGM that will hold 44 members with tables for the commmittee.
Phone each CP 2 weeks before each gathering to make sure you nimbers of participants are the same as the CP's list.
No Caravan Park bookings have been made for the September tag-a-long. Waiting for expressions of interest first.
If there are limited expressions of interest, an alternative getaway will have to be organised for those who don't want to do the tag-a-long.
Dates to be confirmed for August gathering to Nambucca Heads, The Caravan Park would not let Beverly book.
Keep a SPECIAL BOOK with all your notes in relation to events.
At the June Winter Picnic, present the first 6 months of next yea's program and the following 6 months has to be completed by the end of the year with all caravan parks booked.
If the gatherings are on the Central Coast, book 8-10 sites, On the South Coast, book 6 -8 sites. If you plan to travel over the Great Dividing Range, book only 6 sites.
July is typically a 'nothing' month, but with the president's approval, I put on a 14 day tag-a-long to Queensland this year and it was very successful. It is YOUR choice to continue with a tag-a-long each July or keep it completely bllank.
